This policy covers https://greencountryfrontdesk.com and the AI front desk service Green Country Front Desk LLC provides to its clients. It is written to be read, not to be survived.

Two different kinds of people

We hold information about our clients — the businesses who buy this service — and about their customers, the people who call those businesses. The second group never chose us, so we treat their information as belonging to the business they called, not to us.

What we collect from visitors to this site

If you send us a form or use the chat, we collect what you type: your name, business, phone number, email, and what you tell us about your business. We use it to reply to you and nothing else. We do not sell it, rent it, or add you to a marketing list you did not ask for.

The site collects basic technical information — browser, device, pages viewed — to keep it working.

What we process for clients

When we answer a call for a client, we process the caller’s phone number, what they said, what they wanted, and any details they gave for a booking or a callback. Calls are recorded and transcribed so the business can see what was asked for and follow up.

Callers are told at the start of the call that it is recorded and that they are speaking to a virtual assistant. Anyone who asks for a person is handed to one.

How long any of it is kept

Call recordings and transcripts are deleted after thirty days. Encrypted backups may hold that content for up to ninety days before they are overwritten. Categories of sensitive personal information — card numbers, government identifiers, medical identifiers — are stripped automatically at the voice provider and never stored.

Client account records are kept while the client is with us and for a reasonable period after, for tax and contractual reasons.

Who else touches it

We use service providers to run the system: a voice platform, a telephony provider, a hosting provider, and encrypted offsite backup storage. Each is contractually limited to providing that service to us. Call transcripts are processed by a language model provider to produce the call summary a client receives.

We do not sell personal information, and we do not permit it to be used to train artificial intelligence models. That commitment is in our client agreements, not only on this page.

A client’s data is never shared with another client. Ever.

Text messages

Where we send text messages on a client’s behalf, mobile numbers are used only to send those messages and are never sold, rented, or shared with third parties or affiliates for their own marketing purposes. Message frequency varies. Message and data rates may apply. Reply STOP or CANCEL to opt out, HELP for help.

Your rights

You can ask what we hold about you, ask us to correct it, or ask us to delete it. If you are a customer of one of our clients, we will point you at that business as well, because your relationship is with them. Email hello@greencountryfrontdesk.com and we will respond within thirty days.

Children

This service is not directed at children and we do not knowingly collect their information.

Changes

We may update this policy. The version on this page is always the current one, and the date at the top says when it last changed.
